Encuentro de Estudios Sociales del Mar 2026

How Epistema designed and managed the full information cycle of a scientific meeting —from the call for papers to collective memory— and deployed its own tool so knowledge can circulate.

01 / The challenge

A scientific meeting is an information system.

Dozens of authors, abstracts, research lines, reviews and decisions that must flow without loss, without duplication and with traceability. The challenge was not to produce isolated pieces, but to think through and manage that whole system. Epistema joined the organizing committee to do it.

02 / The information cycle

Every stage, treated as scientific data management.

  1. 01

    Collection

Call-for-papers strategy and instrument design: forms and databases for registration and panel submissions.

  2. 02

    Processing

Capture, cleaning and organization of author and abstract data into a single reliable source, without redundancy.

  3. 03

    Review

Management of scientific abstracts and preparation of information so the organizing committee could decide clearly.

  4. 04

    Communication

Ongoing dialogue with authors and attendees —the meeting’s data assets—: guidance, acceptance, program and panel dynamics, through automated, traceable communications.

  5. 05

    Program and operations

Building the program with the committee, managing files and confirmations, and live support during the event.

03 / Knowledge management with technology

Epistema Notas

«Pensar juntos el mar.»

So that what was thought at the meeting would not be lost when each session ended, Epistema deployed Epistema Notas —known to participants as «Cuaderno de notas»—, its own collective knowledge tool, for authors, attendees and organizers.

© Epistema Notas is a tool exclusive to Epistema, protected by copyright. The 2026 meeting is its first deployment at a real event; it is designed to adapt to other meetings, congresses and scientific events.

Collective contribution

Every contribution strengthens the meeting.

01When each participant records what they think about each talk, the event stops being a sum of presentations and becomes a documented conversation.

02Every public note is linked to a panel, a talk and a person. The result is a structured database of the meeting’s thinking: searchable, filterable and exportable.

03That database is the raw material for the meeting’s own evolution and for continuous knowledge generation: spotting emerging themes, open questions and connections between research lines that feed future editions.
